Responsibilities:

  • Develop and implement Standard Operating Procedures (SOPs) and ensure the team adheres to them.
  • Deliver a world-class experience for every customer.
  • Supervise and lead the on-site team, guiding them in their tasks and responsibilities.
  • Uphold the highest standards of professionalism while maintaining a patient-friendly environment.
  • Address and resolve escalated patient-related issues.
  • Mentor the sales team by providing training and setting KPIs to enhance the clinic’s conversion rate.
  • Ensure the clinic complies with all sanitary protocols.
  • Collaborate with the call center and administration for efficient appointment scheduling.
  • Proactively accept, adapt to, and address both customer and team feedback.
  • Engage in recruitment and marketing initiatives.
  • Ensure timely dispatch of patient offers and have the executive responsibility to provide individual patient discounts to patients who need extensive treatment.
  • Implement a diligent sales follow-up process for all patients with outstanding offers or invoices.
  • Perform the sales follow-up call and be responsible for the location’s success.
  • Maintain full appointment schedules and proactively manage cancellations.
  • Foster a harmonious work environment, mediating and preventing conflicts among staff.
  • Facilitate monthly payment calculations for contract doctors, ensuring accuracy.
  • Monitor and verify invoices received from various service providers, ensuring accuracy.
  • Address patient complaints, collaborating with management for resolution when necessary.
  • Oversee the operational functionality and cleanliness of the clinic, coordinating with essential services as needed (IT service, cleaning service …) 
  • Troubleshoot operational challenges on-site, collaborating with external teams when necessary, and ensuring timely communication with management only after attempting initial solutions.
  • Play a pivotal role in organizing and optimizing the clinic’s scheduling system.

Requirements:

  • Proven previous experience in Dental Clinic or Health Clinic management.
  • Leadership experience.
  • Understanding of the dental industry as a service business, understanding of invisible orthodontics and implantology.
  • Calm and professional manner toward the team and the patients.
  • Excellent verbal and written communication skills for management.
  • Energetic, well-organized and team-spirited.
  • Numbers-driven for sales, able to empower doctors to present the services better and increase conversion rate.
  • Passionate for training the team to help patients through their journey with OrthoDental.
  • Strong knowledge and use of PC and common software applications.
  • Strong knowledge of the workflow of a dental clinic.
  • Fluent in Slovenian and English. Speaking other foreign languages will be a plus.
